Stage 3. Roles and Permissions -
Roles and permissions determine the ability of users to perform actions and the level of access to the data stored within the group.
The video below outlines the implementation of Roles and Permissions.
Quick Tips for Roles and Permissions Configuration:
For groups with more than 5 team members, consider implementing level-based permissions instead of relying on roles or job titles. This approach offers better scalability, clarity, and flexibility as the team grows.
Here’s how to implement an effective tiered system:
Why Level-Based Permissions?
Scalable: Easily adapts as the team expands
Clear: Defines responsibilities without relying on titles
Transparent: Helps set expectations and boundaries for each team member
-
Group Admins
- Full access to all group-based actions
- Responsible for managing group configuration/set-up and permissions.
-
Level 4 – Advanced Access
- Typically assigned to Key Users/Super Users
- Can perform all actions except deleting administrative configurations (i.e. Sample Types, Storage Units, Equipment, etc.)
-
Level 3 – Elevated Access
- Includes all permissions available to Level 2 users
- Additional permission to Witness Sign experiments and protocols
-
Level 2 – Standard Access
- Full access to add, edit, and manage their own data
- Cannot perform editing and archiving actions on other user’s data
-
Level 1 – View-Only
- Read-only access
- Ideal for training, audits, or temporary collaborators
These permission levels are intended to define roles, responsibilities, and system capabilities, not organizational seniority or status. Clearly communicating this distinction helps ensure that all team members understand the purpose of each access level and the scope of actions associated with their role.
