Stage 1. Journal hierarchy and Configuration -
The first stage of configuring the Journal portion of eLabNext is understanding the ELN structure and hierarchy. The video below outlines key aspects along with suggestions for naming and collaboration.
Quick Tips for Journal Configuration:
ELN structure:
-
Group
-
Project - Space where team or product-based work is stored
-
Study - Sub folder within a project for organizing experimental records
- Experiment - a report of the experimental records
-

Naming convention suggestion:
Method 1:
-
Project = Lab group/Team name: for example, 001. Lab A OR 01.Biology Team
-
Study = Project ID - Project Name - Date: for example, P54321 - Project A - 2025
- Experiment = Project ID/Experiment ID - Experiment Name - User Initals: for example, P54321 - Experiment A - JD
-
Study = Project ID - Project Name - Date: for example, P54321 - Project A - 2025
Method 2:
-
Project = Each person/user's full name (i.e., Jane Doe): for example, Jane Doe
-
Study = Person's initials and project name: for example, JD - Project 123
- Experiment = Initials - project name/ID - Experiment name: for example, JD - Project 123 - Experiment 001
-
Study = Person's initials and project name: for example, JD - Project 123

Stage 2. Project & Study Configuration -
The video below outlines adding and configuring Projects and Studies, along with adjusting the collaboration settings.
Quick Tips for Project & Study Configuration:
- Use custom Project (and Study) fields to capture information relevant to the associated research work (e.g., Grant ID, Material Transfer Agreements, Collaboration Agreements, Publications/DOI, etc.)
- Use the Project/Study collaborator settings to adjust the automatic collaboration settings within the project. This allows for fixed members to be automatically added to experiments
