When a user leaves a lab or no longer needs access to a group in eLabNext, there are two available options for managing their account: Blocked or Removed. These actions are accessible from the Group Members page and can be used by group administrators to maintain data integrity while efficiently managing licenses.
Option 1: Blocking a user
Blocking a user allows a group admin to disable access without permanently removing the user's account from the group.
Use case:
Use this option when a user leaves temporarily or the group wants to retain their data without using an active license.
How to block a user:
Go to Configuration > Group Members.
Locate the user in the Group member list.
What happens when a user is blocked:
The user can still log in, but cannot access any data within the group.
All their owned samples and experiments remain in the group.
The user no longer consumes a license.
You can unblock the user at any time to restore access.
This option is recommended for users who may return or when access needs to be paused briefly. More information on blocking a user can be found here.
Option 2: Removing a user
Removing a user permanently removes their account from the group.
Use case:
Use this option when a user is permanently leaving the lab and should no longer appear in the group or have access.
How to remove a user:
Go to Configuration > Group Members.
Before removal, ensure that the user’s samples are either transferred to another active group member or Archived.
Once all samples have been transferred, click OK to permanently remove the user.
What happens when a user is removed:
The user’s account is entirely removed from the group.
They will no longer be able to log in or access group content.

Their experiments remain in the group:
If the experiment had other collaborators, it would remain fully accessible to other collaborators.
If the removed user was the sole collaborator, the experiment will remain, but editing will be restricted until a new collaborator is added and ownership is automatically assigned.
The user no longer consumes a license.
Note: Removed users cannot be restored. To regain access, they must be re-invited to the group. More information on removing a user can be found here.
