This checklist outlines the recommended preparation steps before migrating from Labfolder to SciSure for Research.It is intended to support the main account manager in coordinating user preparation, migration planning, communication, and validation activities prior to migration.
1. User & Account Preparation
☐ Review current Labfolder group members and remove inactive or former colleagues who have left the organization
☐ Identify the main internal contact responsible for migration coordination, post-migration validation, and sign-off activities
☐ Communicate the planned migration date (once confirmed with SciSure), expected migration duration (typically 24–48 hours depending on data size), read-only access period (currently at least 30 days), and any required user actions prior to migration
☐ Send a reminder communication shortly before migration begins
2. Structure, Roles & Permissions Preparation
☐ Review the SciSure helpdesk and permissions documentation before planning the post-migration setup
☐ Identify which team members should have access, admin responsibilities, or advanced permissions in SciSure post migration
☐ Assign responsible persons for the post-migration setup and permissions review in SciSure
☐ Be aware that roles, permissions, sharing settings, and group structures are configured differently in SciSure and may need to be adjusted post migration to support your workflows
☐ If documentation of the current Labfolder setup is required beyond the read-only access period (30 days), create screenshots or supporting documentation before access expires
3. Understand Migration Scope & Expected Outcomes
☐ Review the agreed migration scope and expected migration outcomes outlined in the SoW prior to migration and validation activities
☐ Be aware that certain elements and behaviors may differ after migration, including folder structures, permissions, collaborator assignments, hidden content visibility, and the handling of tables, well plates, and file previews in SciSure. Additional information about structures and collaboration in SciSure for Research is available here.
☐ Be aware that some Labfolder elements are currently not included in the migration scope, including tags, comments, custom date fields, signatures, entry history, sharing settings, permissions, and Labregister categories/items, and may need to be recreated or configured manually after migration where required
☐ Ensure your group/team is informed about the migration scope, expected outcomes, and post-migration behavior changes prior to validation
4. Validation & Sign-Off Planning (to be completed together with the SciSure team)
☐ Prepare a list of projects, experiments, and files to verify according to the validation script outlined in the SoW
☐ Identify the main contact who will participate in post-migration validation and final approval activities
☐ Review and confirm the successful migration of all in-scope data together with the SciSure team during the validation and sign-off session
5. Information for Lab Users
Recommended Actions that need to be completed by all Labfolder users prior to migration:
☐ Update your account to use your organization/company email address instead of a personal email address prior to migration
☐ Complete or cancel any active signature/review workflow processes before migration and avoid starting new workflows shortly before migration
☐ Review open comments and manually save any important information where required, as comments are currently not migrated
☐ Review any important private projects before migration. If only a few private projects are affected, export them before migration and add them manually in eLab afterwards. For a larger number of private projects, please contact your administrator, who can help manage them before migration using the provided guidance article.
☐ Take note of the planned migration date, expected migration duration, and read-only access period communicated by your group manager
☐ Avoid making major changes or uploads shortly before migration begins
☐ Avoid API activity during the migration period
