When migrating from Labfolder to SciSure for research, it is important to understand how electronic signatures work in the new system.
Both platforms allow users to digitally sign laboratory records, to confirm that data have been reviewed and finalized. However, the way signatures are applied and managed may differ between the two systems.
Labfolder Electronic Signatures
Labfolder provides two main signature-related features:
Sign & Witness (Basic function)
- Users can sign a notebook entry
- One additional witness can be requested
- Signing locks the entry and prevents further changes
Review Workflows (App)
Review Workflows (Basic / Free)
- Allows signing of a notebook entry
- Allows requesting one additional witness
Review Workflows Plus (Paid Add-on)
- Supports complex validation workflows
- Multiple witnesses can be added (upto 10 witnesses)
- Allows comments on approval
- Allows withdrawing signatures
- Allows requesting changes
SciSure Electronic Signatures
SciSure provides signing functionality across different levels:
Signing Experiment
- Experiments can be signed
- Signing locks the experiment
- Signing can require authentication (e.g., password or other method depending on setup)
- A witness can be included in the signing process

Signing Study
- Multiple experiments within a study can be signed together
- Signing applies at the study level

Signing Protocol
- Protocols can be signed
- Signing is part of the protocol lifecycle
- Signed protocols are locked for further use or modification

Signature Workflow Add-on
- Allows creation of review workflows
- Workflows can be assigned to groups, folders, or projects
- Multiple signature steps can be configured
- Each step can have assigned reviewers
- Supports workflow-based approval processes

4. Key Differences (Migration View)
| Feature Area | Labfolder | SciSure for Research |
| Signing level | Entry | Experiment, Study, Protocol |
| Batch signing | Not available (entry-by-entry) | Available (study-level signing) |
| Witness support | 1 (basic), up to 10 (paid workflows) | Configurable per signing process |
| Workflow structure | Entry-based | Workflow-based (group/project level) |
| Protocol signing | Not separate | Supported as a distinct entity |
| Locking behavior | Entry locked after signing | Object locked (experiment/study/protocol) |
What This Means for You
When moving from Labfolder to SciSure:
- You will continue signing individual records (experiments)
- In addition, you gain the ability to:
- sign multiple experiments together (studies)
- sign and control protocols separately
- define structured approval workflows
- Instead of signing entries one by one, you can:
- work at different levels of data (experiment, study, protocol)
- apply consistent workflows across projects
